-
- Maynard asked about the background for the ideas in the New World
- Paper. He mentioned parallel work in psychology. I demonstrated how
- SDS applies those ideas, and asked Maynard to integrate SDS into his
- work practice. We examined the preliminary speaker slate and agenda
- for the PMI conference. Considered "Ambassadors of Change" concept
- based on growing pool of experienced early retirees. Maynard feels a
- new book by Stephen Covey may have helpful ideas on time management.

- Source of SDS Ideas
-
- Maynard initially asked about the background that led to development
- of SDS, POIMS and Communication Metrics.
-
- In sum, I created an automated tool to do my work. Refinements and
- use over 13 years led to two related sets of ideas called
- ..
- • POIMS
- • Communication Metrics
- ..
- POIMS is an information technology to design hardware and software
- that integrates time, information, people, documents and subject,
- ref SDS 16 line 114.
- ..
- Communication Metrics is how people use the technology to leverage
- the capacity to think, remember and communicate.
- ..
- I gave an overview of my experience in the military from 1967 -
- 1969, as a General Contractor from 1970 - 1977, litigation re the
- Benecia-Martinez project from 1975 - 1993, consultant from 1977 -
- 1995, and development of SDS from 1983 to the present that led to
- the theoretical underpinnings of implementation set out in the New
- World Order... paper, ref SDS 5 line 189.
- ..
- Maynard mentioned a university in Marin where degrees are awarded
- on an expedited basis to supplement credentials.
-
- ..
- How Much Time Using SDS
-
- Maynard asked how long I spend using SDS each day? He asked about
- outside activities? He noted how I relate seemingly disparate threads
- of discussion to SDS.
-
- ..
- Communication Manager
- Performance Review and Metrics
-
- I capture about 10% of my experience. This requires using SDS a
- lot: sometimes just an hour or so a day, occasionally not at all,
- but often 8 - 20 hours a day, similar to a truck driver who uses a
- truck for his work of transporting stuff; or, a manager using his
- head, more or less throughout the day, to apply his craft of
- setting objectives, communicating and following up. How much time
- does the manager spend "on stage" versus preparing and reviewing
- the performance. An actor gets lots of reviews, but managers only
- get cost reports at the end of the month. How can he relate those
- results to what he did and said?
- ..
- I use SDS to write the reviews of books, articles, television
- broadcasts, calls and meetings to figure out what needs to be done
- and plan it (see "Management Cycle" below).

- Wisdom: Writing in SDS is Enlightening
-
- SDS can be an integral part of "doing" the work on documents and
- phone calls. There is, however, a dichotomy between "thinking"
- with SDS and "doing" certain tasks, for example attending
- meetings. Our biology makes "thinking" an integral part of
- "doing" (discussed below under the "Management Cycle"). The only
- issue is whether an activity needs focused time to write it down
- and link it up. Is there harm to be avoided or benefit to be
- gained by investing intellectual capital? Often we can only
- discover this by the process of creating new knowledge. This
- suggests erring on the side of more investing. Automation makes
- it practical. We can write more in the same time previously
- devoted to hand written notes. Wisdom from life experience
- illuminates the choice. SDS leverages "wisdom." Having
- previously worked out what we "know," we are positioned to make
- future judgements about what is important to know more about. This
- leads to "enlightenment" cited in the New World Order... paper,
- ref OF 2 line 728 and ref SDS 22 line 175.

- Writing is Active, Mentally Stimulating Like Playing a Piano
-
- Doctor Busman noted that writing is an active process that
- stimulates the mind. (see Writing to Remember and Poetry, below,
- ref SDS 0 8956) Knowledge is strengthened from exercising the
- mind, rather than simply absorbing new information by seeing,
- hearing and talking. The interplay between both hands, the eyes
- and even hearing by the mind saying the words to ourselves, adds
- to this strength, like a piano player using both hands and ears.

-
- ..
- Shortage of Scribes Causes Long Hours
-
- The tension between writing stuff in SDS and doing things is
- greatest when I am doing an assignment for a new client. Initially
- they do not know the value of the "thinking through writing," and
- so they try to limit my attendance at meetings. But after the
- client discovers the advantage of new knowledge and controllable
- action items linked to original sources, they want me to attend
- every meeting so I can write them up, but if I do that there is
- less time to do the writing that accomplishes the understanding
- which is the purpose of attending. This makes for long days.
- ..
- We need more than one "Communication Scribe." Achieving that goal
- requires helping others gain skill with SDS and with writing under
- various styles (e.g., analysis, reporter, advocate, diplomat).
- ..
- That in turn requires helping others believe they can
- acquire these skills and that doing so improves their chances of
- "improving" their lives, like acquiring the skill to use the
- alphabet. Since this is two or three levels down from a direct
- connection, it is a major cultural change that takes time. The
- effort provides insights about life, challenges and opportunities
- to work with interesting people, so it seems worthwhile at this
- time.

- memory, the distinction between information and knowledge, the
- correlation between time and information, and so on, as set out in the

- First, I may present some opening remarks to explain how ideas
- from prior PMI events ref SDS 8 line 270, led to the theme for
- this event:

- Second, I can speak loudest by ensuring a well run program
- that presents useful ideas in a credible, effective manner so they
- are easy to assimilate and encourage implementation. It is only
- the experience from implementation that allows people to gain new
- knowledge, ref SDS 3 line 329. My focus is the implementation
- side. What will attendees do when they get to work on Monday?

- critical to introduce new ideas. Hopefully, we can offer good
- ideas. But for people to make the effort to experience them, new
- ideas must be presented from credible sources, especially where,
- as here, the ideas conflict with traditional notions of what a

- ..
- Doctor Brusman commented that SDS replaces poetry for unlocking

- for carrying a lot more groceries home from the store faster and
- farther than the strongest runner. While only very few can write

- using psychologists to treat conflicts among co-workers. He
- seemed to recognize that Communication Metrics is a new strategy
- to avoid miscommunication that causes a lot of these problems,
- ref SDS 19 line 228. Since communication is central to
- organizational performance, the gain or loss is compounded.

- Information Highway Requires New Work Discipline
-
- Some people have difficulty accommodating constant exposure to
- conflicts and/or errors they and others make. The subconscious
- mind "buffers" most small errors, so people can function with
- imperfect knowledge, ref SDS 21 line 410. These small mistakes
- are intended to be discovered by the SDS processes of "continual
- learning" and "traceability." In the same way that people have
- varying capacities to run, enunciate, accomodate exposure to
- sunlight, so too people vary in their capacity to deal with
- constant exposure to the mistakes SDS discloses for correction.
- ..
- The growing pace of modern communications, commonly called the
- Information Highway, compounds the potential for misunderstanding
- and its impact. This constitutes a new environment that requires
- dedicated support and new tools and methods to convert information

- Handwritten Notes
-
- Managers often voice concern that using SDS means writing
- their notes twice. We examined today samples of typical hand
- written notes showing a better method is needed.
-
- [See later example from work with Corps of Engineers ref
- SDS 32 line 120.]
- ..
- Maynard commented that manager's notes are generally filed
- away rather than used to support daily interaction and
- decisions. This conflicts with the ISO requirement for
- Continual Learning and Traceability. Maynard has worked with
- ISO 9000.
- ..
- The new environment of faster information in the modern era may
- warrant creating a new work discipline so organizations can assign

- I reviewed the record of CNN's report yesterday that ATT plans to
- downsize by 78K next year, per SDS 17 line 40. Maynard's brochure
- indicates his company, Working Resources, offers services that can...

- force, and also transition those being "re-deployed" and
- "reengineered" out of a job by increasing their skills, ref SDS 24
- line 90.
- ..
- The ATT situation presents an opportunity to use a new class of
- people, called Communication Managers, and to support people being
- retired with counseling and training to gain the new skills of
- Communication Managers. This is the vision of "Taking the Quantum

- to ATT, PG&E or other firms facing similar prospects of reengineering
- people into obsolescence and reengineering organizations into chaos.
- ..
- Maynard indicated this seems useful based on his experience working

- of 78,000 people will be performed by those remaining, absent some

- ..
- We considered how the Information Highway means the amount of

- to fudge by looking at only 19% or even 15% of information which
- impacts 75% or 60% of the outcome. These shortcuts lead to the
