0607 - Summary/Objective
0608 -
060801 - Installed SDS per discussion at ref SDS 3 line 51.
060802 -
060803 - Russ created a task for the work done today and we scheduled follow up
060804 - training for Friday, 931029 1530.
060805 -
060806 - He made good progress in recognizing SDS presents simple screens (e.g.
060807 - "Schedule", "Diary") that have a lot of integrated functionality to
060808 - improve management productivity. Like the law, engineering, or music,
060809 - acquiring SDS skills is a rewarding investment.
060810 -
060811 - He will inquire about using our spare Sony monitor to support this
060812 - objective.
060813 -
060814 - Submitted ref DIT 1 0000 to confirm understandings, and illustrate how
060815 - SDS is intended to be used, per "Implementation Strategy" explained
060816 - below.
060817 -
060818 - Submitted ref DIT 2 0000 to Anne transmitting this record and separate
060819 - comments, transmitting the stuff sent to Russ.

0610 -
0611 - Progress
0612 -
061201 - Let Russ experiment with my notebook using SDS, while I installed
061202 - the program on his office computer. Gave him User ID:
061203 -
061204 - 00203
061205 -
061206 -
061207 - He has some contacts in Organizer, which we will try to print to an
061208 - ascii file, so I can load them into his SDS Contacts data base.
061209 -
061210 - Need Russ' contacts.
061211 -
061212 -
061213 - Switch Between Applications - CMD>
061214 -
061215 - Showed Russ how to click on top left corner to switch between multiple
061216 - SDS applications in memory. Explained how ESC or clicking on
061217 - "Quit=ESC" closes an application (i.e. purges it from memory), but
061218 - often Users click on CMD>, to just switch between applications, so the
061219 - work can be performed in an integrated manner.
061220 -
061221 -
061222 -
061223 - Help - Ctrl F10
061224 -
061225 - Showed him how to use on-line help. Russ used it to look up how to
061226 - figure out the purpose and options for the doc log "Type" field.
061227 -
061228 -
061229 -
061230 - Menu - Shift F10
061231 -
061232 - Russ picked up using the Right mouse button or Shift F10 to open the
061233 - menu, and clicking the left button to select menu choices and execute
061234 - functions.
061235 -
061236 -
061237 - Function Key Assignments
061238 -
061239 - He asked about how to find out what function keys do, for example
061240 - F1 F8, to create the document log format. I showed him how the
061241 - menus display function key assignments, so users can learn to use
061242 - the program faster by calling function keys for frequently used
061243 - routines, instead of stepping through the menus.
061244 -
061245 - A complete list of all Function Keys is in the menu for SDS
061246 - records under "Other".
061247 -
061248 -
061249 - Context Sensitive Help
061250 -
061251 - Did not have time to explain how to open Help on each item in the
061252 - menus, to get direct help on procedures and usage. Will cover
061253 - this on Friday, if he has not already figured out, he can call
061254 - Help with Ctrl F10 on any line in a menu, or click on the space
061255 - in front of a menu description for help on it.
061256 -
061257 -
061258 -
061259 - Subject Index
061260 -
061261 - Demonstrated how this creates an electronic filing and accounting
061262 - system. Russ liked the design of clicking on different areas of the
061263 - screen to call more detail or return to a higher level, call a report
061264 - or assign a subject to an SDS record control field.
061265 -
061266 -
061267 -
061268 - Initial Orientation
061269 -
061270 - We did most of the initial training on my notebook, since it has diary
061271 - and other records that let us demonstrate features. Today we mainly
061272 - considered the Schedule screen and SDS record format. Russ picked
061273 - this up quickly, and noticed that the name of the program module is
061274 - shown in the top right corner of the screen (e.g. "Schedule"). He
061275 - recognized the record line numbers provide structure, and I demonstra-
061276 - trated how they are applied in the citation feature.
061277 -
061278 - He liked the Subject Index, reporting procedures and structure of the
061279 - program, as shown in diagram at ref OF 5 line 12. Did not have time to
061280 - review the other diagrams mapping out more program structure, ref OF 1
061281 - - 5. Will do that Friday.
061282 -
061283 -
061284 -
061285 - Performance and Ease of Use
061286 -
061287 - Russ said SDS seems much easier to use than the program he examined in
061288 - 1990, see ref SDS 1 line 55. He likes SDS functionality, including
061289 - the ability to interface with Wordperfect and Lotus 123, but would
061290 - like the user interface to be easier and more intuitive like his
061291 - Lotus Organizer program.
061292 -
061293 - I explained the balance between providing tools to greatly improve
061294 - the speed and accuracy of executive work, and making it easy to
061295 - use, requires constant attention to User preferences. Everything
061296 - SDS does is faster and requires less effort, than conventional or
061297 - other automated solutions. While it is not "easy" to improve
061298 - executive productivity, the rewards justify the investment to
061299 - learn how.
061300 -
061301 - It is also important for new Users to appreciate that SDS provides
061302 - capability that has never existed before, and so it cannot be as
061303 - intuitive as programs that do things people already know about.
061304 -
061305 -
061306 - He feels the mouse makes the program easier to use than the earlier
061307 - version, and asked if this could be extended to provide editing
061308 - functions like deleting, moving, copying and cut & paste, via the
061309 - mouse?
061310 -
061311 -
061312 - Windows
061313 -
061314 - Set up an icon and pif file for SDS, but for some reason could not
061315 - get the mouse to work in window mode. Seems to work fine in full
061316 - screen mode.
061317 -
061318 - This has come up before, so I should be able to find a solution.
061319 -
061320 - The most extensive research was done at ref SDS 2 line 150.
061321 - However, it does not reveal any immediate clues to this current
061322 - problem.
061323 -
061324 - Actually, a similar problem in OS2 turned out to be caused by a
061325 - video conflict.
061326 -
061327 - Typically, in Win 3.1, the problem is that the mouse driver is
061328 - different from Windows 3.1, usually something that came with the
061329 - mouse.
061330 -
061331 -
061332 -
061333 - Monitor
061334 -
061335 - Russ' composite monitor distinguishes SDS screens with gray scales,
061336 - but it is very difficult to use the program in this way. Program
061337 - modules and menus that are otherwise distinguished with color, are
061338 - nearly impossible to follow in gray scale. The cursor is also hard to
061339 - identify.
061340 -
061341 - For evaluation purposes, I offered to loan Russ our Sony 14" VGA
061342 - color monitor, and a controller if they need it. I expect the
061343 - controller they have, will run the Sony.
061344 -
061345 - Russ will inquire and let me know.
061346 -
061347 -
061348 - ..
061349 - Follow Up
061350 -
061351 - I explained my willingness to give Russ all the support he needs to
061352 - adequately evaluate SDS, including on-site and telephone training.
061353 -
061354 - Did not ask if he has a modem, but if so, we can provide direct hands
061355 - on assistance without coming to the office.
061356 -
061357 - Russ wants to experiment with the program tomorrow, and meet on Friday
061358 - afternoon, 1530 for further training.
061359 -
061360 -
061361 - ..
0614 -
0615 -
0616 - Implementation Strategy
0617 -
061701 - Submitted ref DIT 1 0000 to confirm understandings, and illustrate how
061702 - SDS implements the management cycle: plan, perform and report.
061703 - Writing down what we did, is an investment in intellectual capital,
061704 - creating a resource that can be used again and again without ever
061705 - wearing out. It also "debugs" our understanding, and gives others an
061706 - opportunity to correct us. Thereafter, it controls the content of the
061707 - record. Com- mand of this record is a powerful new way to manage
061708 - contracts. But additionally, it provides a guide for follow up tasks,
061709 - when we recycle the "report" to create a new "plan" of action.
061710 -
061711 - This is what I hope will be implemented at KHLS.
