1008 - Summary
100901 - ..
100902 - This is information only for DNRC.
100904 - ..
100905 - In preparing a tape to send to DNRC it occurred to me that a problem
100906 - arises from trying to use a common data base in discrete locations.
100908 - ..
100909 - I put the Contact records on the tape received from DNRC on e:, and
100910 - will leave them there for awhile in case something else comes up.
100912 - ..
1010 -
1011 -
1012 - Problem
1014 - ..
101401 - I discovered a disparity with the contacts data base today between
101402 - Helena CPU #6 and SF CPU #4. The pending contact number file,
101403 - ref OF 3 showed 7 outstanding contact numbers, and the comparable
101404 - file, ref OF 3, for CPU #4 in SF showed only 6.
101406 - ..
101407 - Record number "00000066" was shown as the last and therefore pending
101408 - number for CPU #4, but was not listed for CPU #6. The record itself
101409 - actually existed on CPU #4 and CPU #6. This suggests that somehow the
101410 - record was deleted somewhere, and so # "00000066" was returned to the
101411 - pending Contact number inventory, but the deletion of the record
101412 - itself was not reflected at other workstations.
101413 -
101415 - ..
1015 -
1016 -
1017 - Analysis
1018 -
101801 - How it Happens
101802 -
101803 - If we delete a record for example at the DNRC workstation, where I did
101804 - much of my work, the Contact record is removed from the disk, and its
101805 - Contact # is placed in inventory. Files were then transferred daily
101806 - to and from CPU #6 with cpy.bat and cpx.bat. This updated the inven-
101807 - tory file, but the "transfer" could not update the corresponding dele-
101808 - tion of the record, such that the inventory files are the same at the
101809 - discrete workstations, but not the records, i.e. we are out of sync.
101811 - ..
101812 - When I came to SF, I backed up the files on CPU #6 to take with me. I
101813 - thought I deleted all of the Contact records on CPU #4 in SF and then
101814 - restored them from the tape. Since there is a difference between the
101815 - CPU #6 Contact records and those on CPU #4, however, my recollection
101816 - must be incorrect.
101818 - ..
101819 - It is possible that during the period since I left Helena, DNRC staff,
101820 - modified the Contact data base. Even if true, that does not account
101821 - for this particular difference, since it pertains to a record for
101822 - Torno America which is a Contact record that pertains exclusively to
101823 - me.
101824 -
101825 - Thus, at this time I do not have a good explanation for the
101826 - apparent differences observed between the Contact data base on CPU
101827 - #6 and that on CPU #4. We probably need Lucille to explain again
101828 - how to take the fox, the cat, and hen across the river in a boat.
101829 -
101830 - [On 930505 Mother's Day card to Lucille mentions her story
101831 - about the foxt, the cat and hen again. ref SDS 6 EY59

1021 - Solutions
1022 -
102201 - SDS records
102202 -
102203 - CPU #6 remains the primary data base for DNRC users. I therefore,
102204 - have to avoid transferring any DNRC user files from my data base to
102205 - DNRC. While it is not my intent to change any such files, one can
102206 - never be sure that a change has not been made. Similarly, I have to
102207 - avoid downloading any files from DNRC that may include my own SDS user
102208 - ID.
102210 - ..
102211 - The SDS record data base structure makes this simple to effectuate.
102212 -
102214 - ..
102215 - Contacts
102216 -
102217 - This is more difficult, because it comprises a single data base.
102218 -
102219 - Inevitably the DNRC and Welch data bases must grow apart, as DNRC
102220 - enters more of its Contacts and Welch enters different ones for the
102221 - same numbers.
102223 - ..
102224 - I have a pending improvement to permit different users in an organiza-
102225 - tion to develop their own unique summaries so each user can list only
102226 - the Contacts from the common data base that pertain to their work.
102227 - That, however, is a different matter from the instant problem.
102229 - ..
102230 - Therefore, I see no alternative but to avoid commingling these. I
102231 - cannot download the h: sd 09 records received from DNRC, and they
102232 - cannot download such from me in order to avoid writing over numbers
102233 - assigned to different contacts.
102234 -
102235 - This is the procedure for handling external data base relation-
102236 - ships.
102238 - ..
102239 - Internal changes are more subtle. If someone is a remote site, in
102240 - general it seems to me for now that such person simply must avoid
102241 - adding or deleting Contacts. The reason is because someone at the
102242 - home site may add a different contact to the same number and when
102243 - the guy gets back and downloads the one previously added is
102244 - overwritten.
102245 -
102247 - ..
102248 - Inventory Verification
102249 -
102250 - Actually there is a tedious but simply way to verify the
102251 - correlation between the Contact ID # inventory and the actual
102252 - records on the disk, so if something is accidentally deleted or
102253 - overwritten, it can be corrected.
102254 -
102255 - We simply do a check of the numerical list created by placing
102256 - "01" in the Contact menu in place of the "02", offset the
102257 - screen with F8, put the line numbers on with Shift F7, and
102258 - scroll through to see that all the line numbers line up.
102260 - ..
102261 - The difficulty with this is it should be done once a month or so,
102262 - so an inadvertently deleted record can be restored from backup.
